AREA OF RESPONSIBILITY:

 

Reports to Coordinator, Business & Projects, this role will act as a central support resource, assisting the management structure of the Recreation Division with day-to-day coordination and operational tasks to maintain efficient operations of the division. This position will provide an additional level of support, including research, analysis and communication on various special projects, as directed by the Recreation Leadership Team. This position requires independent decision-making, judgment and tact when handling sensitive information, as well as the ability to juggle competing priorities and work to meet deadlines. The qualified professional will be an organized, personable individual with a positive and proactive attitude, keen attention to detail and a customer service oriented mindset.

 

 

  1. OPERATIONAL ACCOUNTABILITY

 

  • Provide administrative support to the Director, Recreation and Recreation Leadership Team; including preparation, review, processing and distribution of correspondence, briefing notes, meeting agendas, minutes, actions and presentations.
  • Collaborate with the management team to support on business initiatives, programs, processes, procurement, staffing and projects.
  • Manage the calendars of the Recreation Leadership Team and related logistics.
  • Prepares correspondence on behalf of the Director, Recreation.
  • Maintain files and confidential records of Recreation Division to ensure corporate compliance.
  • Administer corporate purchasing card, petty cash reconciliation, request for travel and expense forms/reports, and sectional/ divisional time entry.

 

  1. LOGISTICAL SUPPORT

 

  • Prioritize correspondence and scheduling requests ensuring urgent matters and conflicts are addressed.
  • Book and arrange meetings, conference and event attendance, resources, travel arrangements and amenities.
  • Coordinate access for new employees, monitor job data for adjustments, and all employee data changes.

Administer programs, projects and or processes specific to the operating unit and work to find and create efficiencies in existing processes.

  • Monitor department spending to ensure it aligns with operating budget.

 

  1. CUSTOMER SERVICE

 

  • Prioritize requests, direct calls and enquiries to the appropriate level for resolution.
  • Provide internal and external customer service by processing and responding to a variety of inquiries and service requests; while adhering to corporate practices and standards.

 

  1. COMMUNICATION & REPORTING

 

  • Research, prepare or assist with the preparation of divisional policies, procedures and reports.
  • Fulfils ‘publisher’ role and manages accountability for internal and external web portal presence for division; co-owner of divisional directories, administers access to staff as required.
  • Responsible for the upload of reports to Agenda.net meeting/agenda system for Recreation division’s council reports.
  • Maintain confidentiality based on the requirement to access, review, maintain and distribute sensitive sectional or divisional and organizational communication, materials and records.
  • Provide documentation support for disciplinary, grievance and performance matters.

 

 

SELECTION CRITERIA:

 

EDUCATION:      

 

  • Degree/Diploma in Administration, Management, or equivalent

 

REQUIRED EXPERIENCE:

 

  • Minimum three years’ experience in an administration role preferably in public sector

 

OTHER SKILLS AND ASSETS:

 

  • Knowledge or significant experience in business writing, proofreading, etc. with an emphasis on communication, coordination and administration
  • Supervisory experience and experience in a public or unionized environment is an asset
  • Knowledge of municipal operations, including departmental and council proceedings considered an asset.
  • Computer proficiency in Microsoft Office Suite, SharePoint
  • Excellent communication skills, written and oral.

Duties and Responsibilities:

  • Receive and inspect inbound product according to the established SOPs.

  • Put away product in correct location based on SOPs.

  • Receive returns, count and confirm quantities, determine condition and complete paperwork (e.g., separate invoices and match to bills).

  • Obtain orders, prioritize if necessary, and select products from the proper locations.

  • Obtain and properly match up reprinted orders.

  • Verify accuracy of orders picked, including product name and size, product code, lot number, expiration date, and quantity.  Escalate concerns to Lead or Supervisor.

  • Stage and securely pack product based on SOPs.

  • Place the appropriate documentation with each order and ensure all cases are clearly labelled and accurately marked (e.g., pick/pack slips, refrigerate stickers).

  • Stage and coordinate outbound shipments.

  • Safely operate various power equipment including, but not limited to, pallet movers, forklifts, reach trucks, and order pickers.

  • Use RF Scanners to electronically scan barcodes.

  • Enter inventory into warehouse management system, verify information accuracy, and perform scheduled processes (e.g., billing, reports, issue sheets) according to SOPs.

  • Conduct physical inventory or cycle counts daily, weekly and/or monthly based on SOPs.

  • Develop physical inventory plan, monitor physical inventories, identify all OS&D (over stock/shortages/damages), and report or correct any errors or discrepancies.

  • Quickly respond (via email or phone) to customer/client inquiries, resolve problems, and communicate service issues to Supervisor.

  • Compile daily and monthly client reports per SOP, including customer KPI reports.

  • Encourage safe work practices in others, point out areas where safety training and enforcement is needed, and participate on Comprehensive Health & Safety Program (CHSP) committee.

  • Ensure all equipment is in proper working order (e.g., counter balance/doors/docks/signal lights).

Reporting to the Director of Human Resources, the Manager, Health, Safety and Wellness develops the strategic direction, manages and oversees the development, delivery and performance of integrated health, safety and wellness programs and initiatives ensuring compliance with legislative and regulatory standards while fostering the corporate culture of health, safety, wellness and early and safe return to work while maintaining compliance with relevant laws and regulation. The incumbent is a member of the Human Resources leadership team and will implement progressive strategies and develop practices to support a diverse and high performing workforce.

 

KEY RESPONSIBILITIES

 

  1. OPERATION STRATEGY
  • Manage and develop procedures and processes to meet departmental goals and objectives.
  • Work with Senior Management in strategic planning to plan for short and long-term business plans, through research, analysis and monitoring of relevant factors such as technological and organizational resources.

  • Maintain knowledge of collective agreements, City policies and administrative directives, legislation, regulations and Standard Operating Procedures (SOPs).

  • Manage and control the budget, ensuring approvals and spending are consistent with operating objectives to ensure budget compliance.

SELECTION CRITERIA:

 

EDUCATION:

  • Post-secondary degree in Health and Safety, Human Resources, Disability Management or related education and industry experience.
  • Must hold or be eligible and able to obtain one of the following certifications within Canadian Registered Safety Professional (CRSP); Certified Health and Safety Consultant (CHSC) Certified Disability Management Professional (CDMP).
  • Certified Human Resources Leader (CHRL) is an asset.

 

REQUIRED EXPERIENCE:

  • 5-7 years health and safety experience preferably in both public and unionized environments.
  • 5 years’ experience in a leadership capacity.

               OR Equivalent combination of education and experience may be considered.

 

OTHER SKILLS AND ASSETS:

  • Excellent knowledge of and ability to interpret and apply the Occupational Health & Safety Act (OHSA) and Regulations, Workplace Safety and Insurance Act, Ontario Human Rights Code, collective agreements and related legislation.
  • Additional formal training and/or experience with the treatment, management and prevention of psychological and musculoskeletal injuries and illnesses and/or Ergonomics is preferred.
  • Experience managing and leveraging contracts with third-party vendors such as Employee and Family Assistance Programs, disability claim litigators, Disability Insurance Providers, and Occupational Health Services is preferred.
  • Experience in municipal/public sector is an asset.
  • Experience managing WSIB claims as a Schedule 2 employer is preferred.
  • Experience with Disability Management Software.
