The Administrative Supervisor is responsible for overseeing a team of Administrative Coordinators, setting performance objectives, evaluating performances, training and hiring as required. This position is a “hands on” position working on various functions as assigned by the Admin. Manager.  In addition, also may have to cover for absences within the Team.

How You’ll Help

  • Assesses and monitors workload on a daily basis, ensuring coverage is available at all times to maintain. 
  • Areas include, P&D Check-In / CICO, managing of linehaul departures as it relates to the administrative side of closing linehaul manifests and statting trailers properly in TruckMate to ensure timely departures from the terminal.     
  • Elevated communications to divers/brokers, internal and external Customer Service and liasing with the Dock Operations Team to ensure all facets covered to successfully run the Billing shift.
  • Arranges coverage for vacations and other absences to ensure day-to-day deadlines are met. 
  • Works with and maintains departmental KPI’s as they pertain to Company goals set out and provides feedback to employees consistently.  This includes, maintaining staff daily KPI logs to ensure complete by end of week to monitor phone queue reports, refused & undelivered stats, appointment stats, # Sent E-mails, and any additional workload staff may perform daily to add to their day under “other”. 
  • Works with and supports the Admin. Team to maintain steady and up-to-date workflow.
  • Works on administrative projects as required by the Administration Manager / Terminal and Regional Managers.
  • Manage/audit reports such as TruckMate, Salesforce, R&U Report, Fineable Appts., Beyond EDD Reports.
  • Other related duties as required by Admin. Manager and/or Reg. Admin. Mgr., Terminal Manager or Reg. Ops Mgr.

Your Skills & Experience: 

  • Minimum of secondary education in the office administration field, with preference of post-secondary education (general stream), or a combination of education and experience.
  • 3-5 years experience in the administrative field with responsibility of data entry and interpretation of payroll laws, policies and guidelines preferably in the Transportation industry
  • 1-3 years of Supervisory / Leadership experience.
  • 3-5 years Previous Transportation or operational experience is preferred.  Various roles within transportation and administration is beneficial.
  • Strong leadership skills, including the ability to motivate a team in a high pressure, deadline-driving environment.
  • Strong communication skills, verbal and written.
  • Organized individual with strong/advanced communication and resolution skills. 
  • Ability to work deadlines in a high transactional environment.

  • Completion of post-secondary level education in a relevant discipline from a recognized academic institution is an asset.

  • Minimum 24 months verifiable professional driving experience as a commercial vehicle driver, within the last 3 years. 
  • Basic computer skills and the ability to learn new systems and programs.

Qualifications

  • The Saskatchewan Swimming Pool Operators Course would be considered an asset.
  • Five years’ journeyperson or building operations experience plus two years' supervisory experience.
  • Possession of or ability to obtain, a recognized Maintenance Management Professional Certificate within two years after the date of hire.
  • Possession of or ability to obtain, a BOMI – FMA or RPA designation.
  • Successful completion of the Occupational Health and Safety Practitioner course would be considered an asset.
  • Possession of, or ability to obtain, valid, recognized first aid and CPR certificates.
  • Possession of a valid Saskatchewan Class 5 Driver's Licence.
  • Current driver’s abstract from SGI demonstrating a safe driving record.

  • Oversees all accounting and cash handling procedures for the Divisions.  Coordinates periodic audits and inspections to verify procedures are being strictly adhered to.
  • Oversees and manages senior level funding initiatives that pertain to the Divisions. Monitors departmental requirements and ensures that information such as schedules, cash flow, and funding are in place and all corporate stakeholders are fully informed of their status and obligations.

Qualifications

Education, Training And Experience Requirements:

  • Degree in planning or a directly related field.
  • Possession of Full Membership in the Canadian Institute of Planners (CIP) and Saskatchewan Professional Planners Institute (SPPI).
  • Three years related professional land development planning experience.
  • Completion of a recognized AutoCAD class or demonstrated ability in the use of AutoCAD
  • Possession of a valid Class 5 Saskatchewan Driver’s License.
  • Current driver’s abstract from SGI demonstrating a safe driving record.
     

Knowledge, Abilities And Skills:

  • Considerable knowledge of the principles, standards and practices related to urban planning and land development.

Under supervision of the Recreation Services Manager (Customer Service), this position coordinates the scheduling of staff for department sites using an automated system.

Duties & Responsibilities

  • Coordinates, in consultation with supervisors, the collection, entry and revision of the staff resource requirements in an automated scheduling system for designated work sites.
  • Develops preliminary work schedules and assigns staff to approved work schedules, for each work site, in accordance with approved policies, and presents them to supervisors for review and final approval.
  • Ensures that the staffing schedules are distributed to each of the department sites in time for posting.
  • Adjust and modify work schedules including assigning staff as required to ensure required staffing levels are maintained.  For example, coverage for vacation, illness, and changes to service levels.
  • Evaluates system reports regarding the status of staff scheduled.  Investigate and address staff scheduling issues that do not align with department objectives. 
  • Provides training for staff regarding scheduling.
  • Consults the systems support staff regarding the scheduling system and related items.
  • Responds to employee inquiries regarding staff schedules and assignment.

Under the supervision of the Corporate Payroll Manager this position ensures the integrity of the data and payroll information in the City’s ERP system.  This position identifies and conducts system and business process enhancements to ensure processes and required controls are in place and in operation. This position also provides front line support with processing payroll transactions, with a focus on worker’s compensation pay (“WCB”) and other exception pay, producing a variety of related reports and records, and responds to enquiries from employees, management, and outside agencies.

Duties & Responsibilities

  • Co-ordinates and administers the processing of the corporate payroll. Develops, implements, and documents procedures required to control payroll processing.
  • Provides support to the payroll section in the form of training, problem solving and troubleshooting to support process improvement and cross training initiatives.
  • Administers, calculates, and reconciles WCB payments and time adjustments to align with WCB requirements and all applicable union collective agreements. As well as, administration, calculation of other exception pay transactions such as sick bank, maternity leave, claims, etc.
  • Develops and reviews payroll processes and controls to ensure entries to the ERP system are accurate. Provides technical information when required to ensure consistency of data, and coordinates with the City’s ERP Program to provide payroll system configuration requirements, resolve payroll system problems, and participates in software updates, ensuring all business testing is complete and accurate.
  • Assists with the review, development, implementation and revision of standards, controls, processes, procedures, and forms related to the payroll system. Involved with identifying and developing new system initiatives and efficiencies.
  • Researches and responds to a variety of enquiries pertaining to payroll from staff, supervisors and managers in other departments, employees, and outside agencies.
  • Ensures all legislative requirements regarding tax withholding, remittance and income reporting have been met. Prepares all CRA payments and monitors direct deposit amounts sent to the bank each payroll.
  • Calculates, reviews and balances payroll.
  • Ensures correct production, yearend balancing, reconciliation, and distribution of T4 and T4A forms.
  • Perform balance sheet reconciliations as required.
  • Performs the duties of all Payroll Specialist positions when required.
  • Performs other related duties as assigned. 

Qualifications

  • Successful completion of a recognized one-year post-secondary business administration related program, plus possession of the Payroll Leadership Professional (PLP) designation from the National Payroll Institute’s Certificate Program.
  • Five years' progressively responsible related payroll and general ledger experience in an automated environment.
  • Proficient in the use of Microsoft Office Suite programs; including Word, Excel, PowerPoint, Outlook and SharePoint.
  • Experience working with payroll in a large size ERP (SAP-S4) enabled organization.  Experience with SAP S4/HANA Payroll, SuccessFactors, and WorkForce would be considered an asset.
  • Possession of a valid Saskatchewan Class 5 Driver’s Licence.Thorough knowledge of hourly and salaried payroll terminology and financial accounting procedures.
  • Thorough knowledge of federal and provincial laws (including WCB legislation), City regulations and union agreements applicable to payroll.
  • Considerable knowledge of large-scale ERP systems.
  • Ability to interpret, and to make decisions in accordance with, established policies and procedures.
  • Ability to work within established deadlines.
  • Ability to work with minimal supervision in a team environment.
  • Ability to make mathematical calculations rapidly and accurately.
