Job Summary

Under the supervision of the Administration Coordinator this position provides payroll, accounting, administrative and clerical support.

Duties & Responsibilities

  • Verifies, enters and maintains payroll related documents and records, including daily attendance and staff entitlements. Produces required payroll related reports, and responds to related inquiries.
  • Supports cross checking purchasing transactions, entering required information and preparing paperwork to process accounts payable invoices. Maintains spreadsheets and balances accounts to the general ledger.  Prints and distributes general ledger reports and variance reports for the Division.
  • Assist with maintaining and reconciles budget spreadsheets to the Corporate GL reports, assigns GL number to invoices and records invoices totals to assigned spreadsheets.
  • Monitors and communicates budget variance to Management.
  • Acts as liaison between external vendors, civic departments and boards; maintains related files and records, completes purchase orders, verifies charges and assigning billing information. 
  • Performs reception and support duties including receiving and directing in-person and telephone enquiries, types, formats, proofreads and processes a variety of correspondence from written copy and electronic sources, produces reports, books meeting and required space and provides meeting support including taking and transcribing minutes, opens and distributes mail and orders and maintains stationary supplies..
  • Maintains divisional information on Corporate SharePoint Site including processes, procedures and organization charts.
  • Verifies, enters and maintains database records to support employee and vendor management
  • Performs other related duties as assigned.

Qualifications

Education, Training and Experience Requirements

  • Graduation from a business college.
  • Two years’ diversified and progressively responsible experience using Microsoft Office applications, including one year of payroll and one year of accounting experience.  

Knowledge, Abilities, and Skills

  • Knowledge of generally accepted accounting principles, concepts and procedures.
  • Knowledge of general payroll procedures and terminology.
  • Knowledge of modern office practices and procedures.
  • Knowledge of business English and arithmetic.

POSITION SUMMARY


PLEASE READ THE ENTIRE BULLETIN THOROUGHLY AND CAREFULLY. THE APPLICATION & SELECTION PROCESS ARE CLEARLY EXPLAINED.

This position offers the opportunity to become a skilled professional driver. Under general supervision, the employee in this position operates a transit vehicle in a safe and courteous manner and provides effective and safe transportation for the citizens of Regina, while providing exemplary customer service.  Employees must be able to meet the physical requirements of the job including, but not limited to, performing the following tasks, which are constant during a normal shift as a Bus Operator:

  • Ability to sit for long periods of time in the driver’s seat while wearing a seat belt.
  • Ability to bend, twist body and to manipulate controls independently or simultaneously at any given time, while wearing a seatbelt in the driver’s seat.
  • Ability to “reach over-head” with both arms to manipulate controls.
  • Constant twisting and neck rotation of different ranges to check mirrors, blind spots etc.
  • Ability to perform required pre-trip inspection, which involves walking, bending, squatting, reaching, twisting body in many different positions.
  • Medium duty lifting while assisting customers with special needs.
  • Constant gripping, pulling and pushing to manipulate control (steering controls, control valves, etc.)
  • Bending, stooping, crouching and twisting in order to keep doorways clear of ice and snow build-up.

Note: Work schedules vary, seven (7) days per week including split shifts, early mornings, evenings, late nights, weekends and holidays. Days off vary.   This is a seniority-based environment where work schedules, days off, vacation and other absences are based on seniority and availability to maintain service levels.

 

Key Qualifications:

  • Communicate clearly and respectfully verbally, in writing and on the two-way radio.
  • Transport passengers on schedule while following all applicable rules and regulations. Assisting passengers with transit information and monitor fares.
  • Ensure passenger safety when boarding, riding, and departing buses.
  • Reports all operational problems, collisions, delays and/or mechanical problems.
  • Navigate a variety of challenging and complex customer interactions respectfully while multi-tasking to always ensure the safety of the passengers.
  • Dealing with difficult or challenging passengers and the general public.
  • Follow defensive driving guidelines and local traffic laws.
  • Contribute to Regina Transits professional image by demonstrating safe, responsible and ethical behavior in all activities.
  • Punctuality when reporting for duty is imperative.
  • Perform required inspection and air brake test of vehicle according to Regina Transit policies and procedures.
  • Perform related duties as required.

Knowledge, Abilities and Skills:

  • Demonstrated initiative, judgement and superior skill in the operation of buses in a wide range of weather and road conditions.
  • Ability to deliver excellent customer service at all times while dealing with situations in a professional manner.
  • Remaining calm and self-controlled when dealing with difficult situations.
  • Co-operate with Transit Supervisors, other City agencies and/or departments to meet customers’ needs.
  • Ability to achieve results while being mindful of a respectful, inclusive and service-minded work environment.
  • Attention to detail and able to adhere to specific procedures/instructions.
  • Knowledge of City of Regina geographic layout (streets, landmarks, places of interest etc). 
  • Map reading skill are essential.
  • Completion of Grade twelve (12), GED or equivalent, including a suitable driving and work history record and demonstrated ability to deal with the public.

SELECTION PROCESS

  • Following Job Suitability tests, select candidates will be requested to attend an in-person interview.
  • Applicants called for an interview will be required to have successfully completed the written portion of the Class 2A Learner’s License and provide verification at the interview. Applicants are advised that SGI has an examination fee.
  • Reference checks will be completed prior to interviews.
  • Following a verbal offer of employment, candidates must provide a clear Criminal Record Check.
  • If all steps in this process are met, the successful candidate will begin the 6 week training program with the City of Regina Transit Department.

Position Summary

The City of Regina is seeking a Utility Billing Clerk to join us for an 18-month opportunity!

Are you detail-oriented and passionate about accuracy? As a Utility Billing Clerk, you'll play a vital role in ensuring our utility bills are processed promptly and precisely. You'll accurately process utility transactions and meter reading/monetary adjustments in the CIS billing system, keeping us on track with our established billing schedule.

Additionally, this temporary position will have the unique opportunity to assist with the City’s AMI Water Meter Upgrade project. You will assist handling outbound and inbound calls to schedule installation appointments, upload letters for soft refusals, manage INFOR tasks by identifying and forwarding them for customer contact, and resolve service requests. Additionally, you will assign urgent field coverage to Water Attendants, Water Ops, and occasionally Locates, along with performing other similar duties as required.

Key Duties & Responsibilities

  • Adheres to billing cycle timelines and adjusts processes as required.
  • Processes and reviews meter readings and adjusts as required.
  • Performs daily upload and download process for regular cycled meter readings, special final readings, electronic payments, and identifies reading errors.
  • Conducts prework and prechecks review.
  • Investigates and follows up on all reading exceptions and errors.
  • Sets up and schedules bill printing e-bills calculation and distribution of bills.
  • Identifies and distributes service order requests to the appropriate areas.
  • Investigates and follows up on all service order request exceptions and errors.
  • Processes move-in and move-out landlord and other related requests.
  • Sets up services and accounts for new residential construction.
  • Complete system calculations and adjustments as required.
  • Supports the Service Regina water meter shop water attendants and meter readers with inquiries on obtaining meter readings and consumption comparison.
  • Supports the operations regarding consumption data inquiries.
  • Answers inquiries from customers financial service representatives and other city departments
  • Completes template letters regarding utility billing status and creates correspondence regarding utility accounts.
  • Performs investigations often resulting in adjustments.
  • Processes electronic utility payments
  • Maintains filing systems in accordance with branch procedure and corporate records management policies and procedures.
  • Completes searches inputs data validates data and generates reports and lists from programs and applications.

Key Qualifications

  • Completion of secondary school or equivalency plus business/office/Accounting administration courses
  • Minimum of eighteen months of previous and on-the-job experience in business processes and customer/client service
  • Knowledge of the computerized utility billing system.
  • Knowledge of the computerized meter reading system.
  • Knowledge of the statutory regulations and bylaws and other policies and procedures related to watersewer.
  • Knowledge of standard accounting practices.
  • Ability to accurately perform complex mathematical calculations.
  • Ability to collect, organize and analyze data and make sound judgements.
  • Ability to maintain attention to detail and meet deadlines while managing and prioritizing a heavy workload within time constraints.
  • Ability to work independently with minimum instruction demonstrating initiative and sound decision making following established policies procedures and processes.
  • Ability to establish and maintain effective working relationships.
  • Demonstrated skill in the use of personal computers and Windows based software programs including Microsoft Word Excel and corporate applications such as CIS.

  • Successful candidate may be required to obtain and provide a satisfactory criminal record check, as per the City of Regina's Criminal Record Check Policy.

The Finance Analyst (FA) assists in coordinating the financial reporting and analysis activities in the Saskatoon operation.  This position works closely with operations to accurately reflect the results, ensure internal controls are in place and monitored, and provide expertise and support

Snapshot of a Day-in-the-Life:

  • Reporting of the Weekly Vitals and Period End P&L Report
  • Investigate variances, determine root causes, and recommend actions to minimize.
  • Provide overhead management support to assigned Budget Manager and Finance Manager. 
  • Understand driving activities and provide analytics to assist management.  Put controls in place to minimize variances and meet with stakeholders to review monthly results
  • Assist in the annual overhead budgeting process.
  • Play a key role in key tasks of the period end close process. 
  • Complete analysis and reporting on balance sheet accounts relating to Operations and ensure controls are in place, and items are accounted for.
  • Collaborate with Finance Manager on special projects as assigned.
  • Provide coverage for Finance Team Members as required.
  • Design, test, implement and maintain procedures
  • Provide leadership in formulating reports (both recurring and ad-hoc) which highlight opportunities and our progress in minimizing costs.
  • Provide analytical support to the Saskatoon facility.
  • Be active and participate in Six Sigma projects.  

What You’ll Bring:

  • Post-secondary education in an Accounting program
  • Proficiency with MS Office, especially Excel and MS Access
  • Knowledge of SAP or an ERP environment is an asset
  • The ability to work cross-functionally
  • Excellent interpersonal and communication skills
