JOB SUMMARY


You are responsible for providing a wide range of confidential and proactive administrative support services in support of a department/ general manager. Acting as a key liaison between the department and a network of internal and external stakeholders—including senior leadership, external partners, and elected officials such as members of City Council, you will ensure seamless communication and coordination across complex and politically sensitive issues. Duties and responsibilities also include conducting research, compiling documentation and data supporting a branch project or department inquiries, generating and making revisions to reports, creating and updating databases and project files and coordinating the administration process. As a trusted advisor and administrative lead, your professionalism and political acuity will directly support successful departmental and community initiatives, decision-making processes, and the successful execution of projects that align with corporate goals and Council directives.

 

We are currently seeking two Executive Assistants, one for Community and Social Services Department and another for Recreation, Cultural & Facilities Services Department.

EDUCATION AND EXPERIENCE

Completion of 2 year community college diploma in Business/Office Administration or related field

Minimum of 4 years of clerical/administrative experience

KNOWLEDGE

  • Relevant dispositions of regulations and legislation pertaining to the branch
  • Branch goals, objectives, policies and procedures
  • The City of Ottawa’s departments and internal operational and administrative procedures and relevant contacts
  • General knowledge of MFIPPA regulations
  • Principles and practices of office management
  • Record keeping, filing and general office procedures
  • Database and records management practices
  • Information verification and basic statistical analysis techniques
  • Computer applications, including Microsoft Word, Excel, PowerPoint, Access, SAP, Electronic Records Management System and other corporate standard software as required
  • Knowledge of applicable health and safety legislation, including the rights and duties of workers General knowledge of City of Ottawa payroll and financial systems and branch policies, practices, functions, systems and procedures is an asset

  • Lead LNA materials and work with Linamar Transportation is systematic cost savings initiatives on LNA logistics.
  • Provide leadership and direction on the storage of production materials across LNA.
  • Be the point of contact for all external warehouse occupancy.

  • Collaborate with facilities to optimize the logistics pipeline of materials to maximize container quantities and minimize the amount of Linamar material in-transit at any point in time.

Academic/Educational Requirements

Performance Expectations

  • Assist in planning of annual major shutdown activities, and weekend work as needed when production operations are not running and repairs or PM’s / TPM’s must be executed.

How you will make contributions that matter: 

  • Wet Packaging – Worker is in direct contact with processed, unpackaged dairy products, and are required to supply the line with the product, placing it into the packaging material, and ensuring product is properly sealed before moving it through to Dry Packaging. Four (4) to seven (7) workers may occupy this position on a production line, and will rotate through the tasks every 30 minutes.

  • Dry Packaging – Worker is in direct contact with packaged dairy products, and are required to ensure labels and product dates are applied correctly, as well as boxing and palletizing the finished goods for the Warehouse. Two (2) to three (3) workers may occupy this position on a production line, and will rotate through the tasks every 30 minutes.
     

General Responsibilities

  • Attend scheduled shift punctually and ready to fulfill all duties required.

  • Meet daily performance targets stipulated by the Production Supervisors, Production Lead Hand, and/or Line Operator.

  • Participate in job rotation, as required.

  • Assist in setup, changeovers, and tear down of machinery and equipment.

  • Participate in daily mandatory stretching program before start of shift, and as required.

  • Report, immediately, any/all food safety and quality issues, and health and safety concerns/infractions to the Line Operator, Production Lead Hand, and/or Production Supervisor.

  • Complete all required documentation accurately and timely.

  • Complete daily sanitation duties.

  • Wear all required Personal Protective Equipment (PPE).

  • Adhere to good hand washing practices to ensure food safety.

  • Comply with all Saputo Orangeville Health and Safety, Food Safety and Quality regulations.

  • Comply with all Saputo Orangeville policies and procedures.
