Who are we looking for?

  • Bachelor's degree or diploma requiring 3-4 years of study in a business or technology field. CCBA or CBAP Certification attained or in progress is an asset.
  • Minimum 4 years experience in a BA role. Experience within an insurance, wealth management, financial planning and financial institution, or an equivalent combination of education and experience; knowledge of the use of specialized computer hardware and software in the insurance, financial planning, or financial services environment is highly desirable.
  • Experience with Waterfall methodology and enterprise project environment,

How You’ll Help:

  • Answer phone calls and email enquiries and relay calls and messages to appropriate managers and employees; attend meetings, take notes, and follow up on decisions within area of responsibility 
  • Order office supplies and maintain inventory for the terminal 
  • Welcome clients; ascertain nature of business and direct clients to appropriate managers and employees 
  • Redirect documents intra- and inter-terminal as well as to customers as needed 
  • Manifest and arrange appointments via fax, email, and telephone. Call customers regarding appointment change, status, rescheduling, and issues regarding appointment. Schedule driver appointments. Update system with appointment information.  
  • Prepare manifests for trucks crossing from Canada to US border and vice versa 
  • Verify the weight for all LTL loads, load trailers, ensuring that the number of boxes/ shipments, weight and dangerous goods information is correct and complete 
  • Input pick up BOL’s and update POD’s. Upload and edit EDI files. Input skeleton bills into the system ensuring that all critical information is input, enter comments regarding damages, shortages and ensure required signatures are present 
  • Track and update system information on shipments for agent delivery. 
  • Assist drivers with preliminary paperwork information such a bill of lading, trip envelops and border crossing procedures 
  • Broker payroll processing including the inputting of City Drivers payroll in the terminal; confirmation of information provided by brokers and data entry for the terminal; providing brokers with invoice copies; and fielding inquiries as to payroll discrepancies. 
  • Reporting: POD reports – following up on PODs Make sure PODs are imaged. Missed appointment report following up with customers if freight not delivering. 
  • Mentor and train office staff in procedures and in use of current software 
  • Dispatch some night runs/shifts 
  • Other related duties as may be required 

Your Skills and Experience: 

  • Minimum of secondary education, with preference of post-secondary education (general stream), or a combination of education and experience. 
  • Previous Transportation or operational experience is preferred, various roles within transportation would be beneficial. 
  • Communication skills - advanced 
  • Computer skills – accuracy, Truck mate MS products, AS400, web based programs

Under the supervision of the Manager, the Engineering Technologist’s duties are performed in accordance with City and engineering policies and project objectives. The incumbent will be responsible for ensuring the safety and security of confidential material pertaining to the Department's operation.

NATURE AND SCOPE OF WORK:

The incumbent will be responsible for performing work of a technical nature related to utilities which include water supply and distribution, sewage collection and sewage pump stations, roads, transportation and drainage systems, and municipal landfill operations as applicable. Technical work may include conducting investigations, surveys, inspections, analysis of data, designs, specifications, drawings, cost estimates and reports. The incumbent may recommend standards for municipal work and for private work related or controlled by municipal bylaws. The incumbent will also make recommendations for work programs, assist in the preparation of budgets, attend committee and other meetings as and when required; write letters, prepare purchase orders, certify invoices and claims for payments, monitor expenditures in relation to budget control, keep records, files and drawings updated and maintain section filing systems. The incumbent will liaise closely with other sections of the Department. The incumbent will provide assistance and technical information to staff, contractors, consultants, utility companies, developers and the general public, as required. The incumbent will be required to perform other related tasks including supervision of project contractors and employees as assigned. Assignments and responsibilities are performed under supervision and performance is subject to review, inspection and evaluation by the Manager. The incumbent will be required to attend technical services and training courses when required.

WORKING CONDITIONS:

The incumbent will normally work the standard work week of Monday to Friday within the hours specified and, on occasion, work overtime as authorized. The incumbent may be required to travel in the performance of duties. The incumbent, upon hiring, will have union dues deducted from source in accordance with the Collective Agreement.
Education: - Must be a graduate of an Institute of Technology in a two (2) year Civil Engineering or other Program relevant to the function of the role and should have two (2) years experience related municipal work, OR an acceptable combination of training and experience;
- Must hold or be eligible to a relevant designation with the Applied Science Technologists and Technicians of BC or other professional licensing body relevant to municipal work;
Skills: - Sound knowledge of engineering and technical methods, practices and procedures required in the performance of duties of the position;
- Sound knowledge of backflow prevention principles and the BC Plumbing Code and associated practices;
- Sound knowledge of municipal engineering, construction and maintenance operations;
- Computer literate with in-depth working knowledge of computer applications such as Microsoft Office;

This is an exciting opportunity for an energetic and self-motivated individual to become a member of the administrative team in the Building Department. Your role will include performing complex clerical work requiring considerable knowledge of applicable departmental functions, procedures, policies and customer service duties in the Building Department. You will work collaboratively with team members and perform diversified clerical duties requiring the exercise of considerable independent action and judgement. The work includes routine typing assignments and/or the responsibility for assisting a supervisor in routine administrative functions. The work is distinguished from that of Clerk II by the greater degree of complexity and responsibility entailed in performing diversified departmental clerical assignments or by the entailed supervisory responsibilities. The work is performed under general supervision and results are reviewed and evaluated by a supervisor to ensure conformance with established procedures, policies, and maintenance of established standards.  Please indicate if you are interested in a regular full time position and/or if you would consider or prefer a job share as a regular part-time position. 

Requirements:
•    Grade 12 graduation including or supplemented by courses in word-processing, typing and business,  plus considerable related experience preferably as a Clerk II or an equivalent combination of training and experience as acceptable to the employer may be considered.
•    Experience with Tempest and Prospero is considered an asset.
•    Experience with JD Edwards and KRONOS is considered an asset.
•    Thorough knowledge of business English, spelling, punctuation, arithmetic and good vocabulary for preparation of reports and correspondence.
•    Considerable knowledge of applicable rules and regulations, methods and procedures governing departmental operations.
•    Ability to employ contemporary service excellence principles.

•    Ability to deal effectively with the public, other employees, and subordinates in processing a variety of enquiries, complaints and related matters.
