In this role, you will support three lines of business within the Legal Services Branch. This position is responsible for providing a broad range of clerical and administrative services in support of the day-to-day operations of Legal Services.   Major outcomes include the maintenance of accurate records to ensure the branch achieves its legal and corporate priorities. 

This position will demonstrate priority in supporting the core needs of the branch, providing support on critical and time sensitive matters, maintaining business area priorities and organization.

  • Open and close claims using document management systems (e.g., IVOS).Assist Adjusters and Analysts with a variety of administrative tasks including (but not limited to) bonds/letters of credits, claims preparation, file management, insurance tracking, renewal certificates of insurance, and data entry
  • Direct claims-related telephone, email and online inquiries to the appropriate Adjuster
  • Obtain LRT and EPS reports for files

  • Complete and process forms and perform data entry functions
  • Draft documents using established templates (memos, letters, reports, inquiries, etc.)Create and maintain spreadsheets and/or other tracking documents
  • Using mail merges, create miscellaneous forms, letters, labels and envelopes
  • Day to day file management including obtaining documents, printing, photocopying and scanning documents
  • Assist various Legal Services staff with administrative tasks and processes as requested
  • Other duties as assigned

Qualifications

  • Completion of the twelfth (12th) school grade, including business subjects with emphasis on general office practices or completion of an appropriate certificate program from an approved business school/college
  • A minimum of two (2) years of Insurance and Claims Management and/or Legal experience is an asset
  • Knowledge of organizational and file management principles
  • Abilities: highly organized, works well independently and as part of a team, detail-oriented
  • Skills: scheduling, time management and priority setting, communication, direct interaction with others, technical capacity with Google Suite and electronic document management systems
  • Hire is dependent on Criminal Record Check satisfactory to the City of Edmonton, and there may be a cost associated with this requirement of this position

  • Demonstrated ability to provide excellent customer service
  • A good understanding of technical trades such as HVAC, plumbing, carpentry, painting or electrical would be an asset
  • Knowledge of standard methods, materials, tools and equipment used in the maintenance of LRT facilities
  • Skilled in the use and care of tools, equipment, and materials involved in the maintenance of LRT facilities
  • Knowledge of the occupational hazards and safety precautions involved in the assigned work
  • Ability to understand, communicate in, read and write English at a level needed to meet job-related task and safety requirements
  • Well developed interpersonal and collaboration skills including the ability to maintain effective and positive working relationships

  • Ability to perform work in underground claustrophobic conditions that are damp, dirty and cramped

Job Requirements:

  • Experience in performing various cleaning, housekeeping and maintenance activities in an institutionalized environment.
  • Experience in using floor maintenance machines, cleaning equipment, materials and solutions.
  •  Knowledge of the Occupational Health and Safety Act and the provisions that apply to this work including WHMIS.
  • Ability to lift, push and pull heavy items as well as climb ladders.
  • Excellent interpersonal skills with the ability to maintain cooperative working relationships with staff, clients and the general public.
  • Ability and willingness to work weekends, holidays and shifts as assigned as well as work in multiple locations.
  • Ability to follow verbal and written instructions, prepare and maintain manual and electronic records.

With a flexibility and a readiness to adapt to changes, this role will also be required to cross-train in different tasks to ensure adequate coverage when needed.

 

Responsibilities may include but not limited to:

  • Handle reception duties, including answering the telephone, signing in office visitors, and providing excellent customer service;
  • Prepare and submit employee and/or contractor information for site access on shared sites (CNRL/Syncrude);
  • Complete goods and service receipts in SAP;
  • Conduct monthly forecasting updates and create and edit reports and documents, all by leveraging SAP and Business Planning and Consolidation tools;
  • Validate invoices against contractual terms and ensure supporting documents are attached;
  • Route invoices for proper approval and payment;
  • Monitor the delivery of services to aid in tracking and forecasting expenditures;
  • Organize and submit monthly financial accruals for the Business Units being supported;
  • Adhere to crucial monthly financial deadlines;
  • Assist with corporate credit card reconciliation;
  • Handle provisioning tasks, such as onboarding new employees;
  • Provide meeting minutes support for safety meetings;
  • Provide Facility/Building Services support and Physical Access Control, which includes working with the local property management team to provide access for contractors, requesting access cards, troubleshooting errors, and issuing and tracking field site keys and lockers keys;
  • Assist with the Corporate Community Investment (i.e., Charity Campaigns, Breakfast programs, Days of Caring, etc.);
  • Providing backup administrative support for vacation/sick relief as needed;
  • Provide warehouse support as needed; 
  • Forklift experience is considered an asset;
  • Other duties as requested; and
  • Participate in a diverse and inclusive work environment.
     

Qualifications:

  • A minimum of Grade 12, High School Diploma, with 2 + years office administration experience; 
  • Energy Industry experience is considered an asset;
  • Post-Secondary Business Administration is considered an asset;
  • Excellent communication and interpersonal skills;
  • Superior organizational skills and a high attention to detail; 
  • Ability to work with minimal supervision;
  • SAP experience is considered an asset; and
  • Strong computer skills with high competency in MS Office, Word, Excel, and SharePoint.
