In this role, you will support three lines of business within the Legal Services Branch. This position is responsible for providing a broad range of clerical and administrative services in support of the day-to-day operations of Legal Services. Qualifications
- Completion of the twelfth (12th) school grade, including business subjects with emphasis on general office practices or completion of an appropriate certificate program from an approved business school/college
- A minimum of two (2) years of Insurance and Claims Management and/or Legal experience is an asset
- Knowledge of organizational and file management principles
- Abilities: highly organized, works well independently and as part of a team, detail-oriented
- Skills: scheduling, time management and priority setting, communication, direct interaction with others, technical capacity with Google Suite and electronic document management systems

The primary purpose of the Accounting Assistant I - Corporate Billings includes processing and generating customer invoices and payment reminders, managing customer account reconciliations and generating accounting reports.
This position is required to provide excellent customer service on behalf of the departments within the City of Edmonton in accordance with defined policy and procedure.

- Process Corporate billings, Fleet billings and Sales & distribution (S&D) invoicing for various services and/or goods provided by the City through Billing advice request, pass-offs, uploads, S&D and M5 billing simulations
- Manage a portfolio of assigned customer accounts. i.e. Rent, Leases, various Transportation portfolio, Transit, Fleet Billings etc.
- Check, review, validate and enter information submitted, ensuring adequacy of supporting documents for completeness and accuracy as well as compliance with business process requirements and accounting distribution. i.e. Cost Centres, Work orders, Net Work Activity (NWA) and internal orders
- Generate corporate daily invoices and payment reminders; mail out and electronic invoicing
- Ensure application of accounting principles and practices in the maintenance and updating of accounts receivable records
- Perform periodic AR customer process timely account reconciliation and General Ledger reconciliations, for daily, weekly and month-end clearing and transfers as needed to record transactions to a customer account to ensure its collectability and minimize bad debts
- Check, review and process refunds to customers on over payments and clear over and under small balances
- Review and analyze customer accounts and respond to customer inquiries over the phone or in written form by email or letter and resolve disputed invoices
- Reconcile General Ledger Accounts related to AR such as 204000 auto post accounts, cash suspense clearing and Warranty account 201180
- Interpret and apply instructions and guidelines to resolve AR billings work related issues
- Maintain good public relations in the performance of Accounts Receivable duties by being courteous and make decisions within established policies and procedures
- Perform other related duties as assigned
Qualifications
- A recognized accounting certificate
- One (1) year of experience in an office environment
- Demonstrated competency in the use of spreadsheet and word processing applications
- Knowledge of corporate and departmental policies, procedures, bylaws and processes in the performance of accounts receivable duties
- Knowledge and understanding of provincial and federal legislation regarding the accounts receivable duties
- Competency in the use of Microsoft Word and Excel, and Google applications & other financial software (i.e. SAP AR module)
- Basic knowledge of accounting, administrative procedures and regulations including GAAP, FOIP and GST

Basic function:
- Performs operational and/or administrative duties of a complex nature, using a variety of software applications. These positions require a high level of accuracy due to consequence of error and fines/penalties to the Company and/or loss of revenue. This position requires initiative and judgment.
Tasks / responsibilities:
- Prepare letters & bulletins for Managers
- Prepare AME (Aircraft Maintenance Engineer) Service Anniversary (Monthly)
- Coordinate Command Upgrade frames
- Administer Locker requests
- Updating schedules and anomalies in Staff Admin
- Issue punch cards for new hires/transfers
- Assist with onboarding classes for Line Maintenance
- Assist with yearly shift bidding and vacation bidding
- Scheduling training
- Assist in AME internal transfer requests
- Ordering of office supplies
- Coordinate with GSOC (YYZ) for AME HID Cards
- Authorize & cancel RAIC cards for Line Maintenance (when required)
- Monitor & administer RAIC transfers for auditing purposes
- Maintain AME status changes (Base transfer, new hires, etc.)
In addition to the above, may be required to perform the Tasks / Responsibilities as outlined in Assistant Coordinator and Coordinator Levels.

Qualifications
- Candidates must be eligible to work in the country of interest, at the time any offer of employment is made and seeking any required work permits/visas or other authorizations which may be required is the sole responsibly of the candidates applying for this position.
Education:
- High School graduation
Skills / knowledge:
- Good interpersonal skills
- Excellent communication skills both written and verbal, as well as formatting and proofreading skills
- Intermediate knowledge of Microsoft Office applications
- Proficiency in spelling, punctuation and grammar
- Aptitude for accuracy and detail
- Aptitude for math
Experience:
- Minimum 3 years office experience
Specific requirements:
- Ability to take minutes
- Driver’s license and AVOP an asset
- Lifting and climbing.
- Position may require shift work and/or work staggered starting and stopping times
- Position may require exposure to weather conditions
