JOB SUMMARY
The mandate of Facility Operations is to operate and maintain all City facilities and City-managed buildings, which represents approximately 900 buildings and includes police, fire, libraries, child care, paramedic posts, recreation, culture, public works, City Hall and other administrative buildings, long-term care facilities, and facility outdoor property. The Facility Operations units deliver facility management and maintenance services within assigned geographic and/or specialty areas.
You are responsible for performing duties associated with the operation and maintenance of all City facilities including but not limited to; minor maintenance and carpentry tasks, painting, grounds maintenance, snow removal, basic repair duties for facilities equipment and general housekeeping tasks while maintaining a high standard of cleanliness and customer service. You may be responsible to work rotational shifts including days, evenings and weekends.
EDUCATION AND EXPERIENCE

SUMMARY

Financial Ownership (Including Quotes Management):
- Submits all expenditures on a timely basis.
- In partnership with the Maintenance Lead, FM, and Regional Director, manage the budget for building equipment maintenance, seeking cost-effective solutions to ensure tenant operations are unaffected.
- Solicit and evaluate technical quotes for equipment repairs, maintenance, and upgrades, with a strong focus on minimizing tenant disruptions.
Vendor Management:
- Oversee technical vendors and contractors with specialized expertise in building equipment maintenance.
- Hold vendors to high technical standards, emphasizing the importance of maintaining equipment integrity to prevent tenant disruptions.
KNOWLEDGE & SKILLS
- High school diploma plus trades training and/or certification or licensing.
- Minimum 3 years’ experience providing preventive and corrective maintenance on heating ventilation and air conditions systems, or pneumatic or hydraulic systems.

What will you do?
- Provide status/performance updates of contracted work to the Contracts Roadways Maintenance Supervisor
- Supervision and management of Contract Inspector I’s designated programs and deliverables
- Provide subject matter expertise/guidance to Inspector I’s to ensure work complies with established contract specification parameters and that the work falls within the scope of the project
- Prepare/review daily reports of program progress and to verify payment quantities
- Oversee and coordinate any required hired equipment and CoE manpower to assist contracted work where necessary to meet program requirements
- Conduct quality control field inspections of Inspector I’s and contractors
- Identify errors in Inspector I’s data entry and assist in making necessary corrections
- Identify/address site concerns that may impact required work and provide direction to Inspector I’s, relay these concerns to the Contracts Roadways Maintenance Supervisor
- Respond, update, and provide consistent messaging for notifications including escalations through 311 and POSSE
- Schedule and coordinate work with contractors to avoid conflicts with other projects or events
Qualifications
- High School Diploma or GED
- 5 years related to roadway maintenance and operational activities
- Proficiency in City systems such as SAP, SLIM, and Google Suites is required

This position participates in the structured Automotive Development Program – Canada (ADP) training to learn and practice the foundational skills for maintaining a safe, reliable, and cost-efficient fleet of vehicles to support the business. The program is designed to be completed within a defined 3-year period based on obtaining required Technician Certifications / Licenses. This position assists in the proper use and care of physical assets, controlling costs while performing regular equipment and facility audits across multiple shifts and locations. This position helps manage external vendor relationships and works closely with auto technicians and internal customers.
RESPONSIBILITIES
• Completes computer-based trainings (CBT) outlined in the ADP Training Track to maintain compliance.
• Contributes in required webinars and workshops to evaluate proficiency in areas of responsibility and improvement.
• Creates and maintains performance metrics outlined in ADP Training Track to identify issues and opportunities for improvement.
• Participates in mentoring programs to enhance professional development.
• Schedules and reviews Preventative Maintenance Inspections (PMI) to control maintenance costs and prevent equipment failures.
• Monitors repairs and performs vehicle audits to ensure technicians adhere to safety, regulatory, and vehicle appearance standards.
• Ensures adequate inventory levels (e.g., parts, tires, etc.) to support business processes.
• Plans and coordinates equipment repairs with internal and external groups (i.e., drivers, operations, and vendors).
• Utilizes advanced technology to identify opportunities for equipment and service improvements.
• Analyzes equipment or vehicle system failures to determine the root cause and resolve problems.
• Conducts facility audits to ensure compliance with UPS (e.g., a clean, orderly work environment), local, state, and federal regulations (e.g., Occupational Health and Safety Association, Department of Transportation, etc.).
• Follows up with automotive staff to ensure that safety and compliance issues are resolved in a timely manner.
• Participates and coordinates UPS and Hazardous Communication training to ensure employees stay current with UPS health and safety policies and procedures, and with legal and regulatory requirements.
• Raises health, safety, and compliance awareness through individual and group conversations, actively supporting safety committees, and leading by example.
• Solicits input from team members and employees to improve the work environment.
