Summary

 

Provides confidential administrative support to the District Vice President.  Responsible to provide various administrative support functions for the department, prioritizing the workload to ensure the group’s objectives and deadlines are met.  Supports these individuals with various projects and day to day workload functions. 

 

Responsabilities

 

  • Answers and screens telephone calls.  Responsible for arranging Conference calls and Videoconferencing using Scotia preferred vendors.
  • Arranges and coordinates travel (utilizing on-line system Egencia); schedules and follows up on reservations and itineraries. 
  • Organizes and maintains administrative files, correspondence and other records.
  • Coordinates DVP schedules and makes appointments as requested.
  • Makes copies of correspondence or other printed materials as required.
  • Coordinates meetings including room bookings and requesting technical, audio-visual support, catering, as required).
  • Assists with maintenance of client-related databases (using both Excel and Salesforce).
  • Establishes sound business relationships by providing courteous and efficient assistance to internal and external clients.
  • Assists where possible with company research via the Internet, Library and other on-line services.  Also may be required to contact companies directly to update contact information.
  • Acts as an alternate resource/backup for the other Administrative Assistants in the area during lunch hours, illness and other absences.
  • Shares in Admin Team responsibilities that support the teams and the Department as a whole (i.e, managing off-site storage records, office supplies, and any ad hoc requests by the Department Administrator).

 

Requirements

 

  • Minimum High School Diploma (Grade 12).
  •  Prefer 2 years’ experience in an administrative role however not essential. 
  • A general knowledge of the financial services industry and the ability to learn quickly are definite assets.
  • Strong technical skills and knowledge of MS Office 2010 including:
  • Word  – used extensively;
  • Excel  – used extensively for expenses and databases (level varies based on group);
  • PowerPoint  – used occasionally to provide assistance with print jobs and minor edits;
  • Excellent organizational and coordination skills.
  • Event Planning
  • Ability to prioritize multi-person workloads to ensure assignments are completed accurately and meet given deadlines.
  • Sound problem-solving skills.
  • Demonstrated verbal and written communication skills, with the ability to communicate effectively within all levels of the organization.

On a daily basis, ensures that the concrete dosage (manufacturing) is in accordance with the specifications provided by the laboratory, while meeting customer needs. In addition, dispatches and schedules concrete mixer trucks to ensure timely delivery of concrete, good customer service, according to orders placed by customers and at a minimum cost.

 

Responsibilities 

 

Security :

  • Daily check of site cleanliness (site safety).
  • Ensure that all employees, yard workers, drivers, mechanics, subcontractors and other people on site work safely and that all wear their PPE and, in addition, carry out regular inspections to monitor the progress of tasks and work.

 

Production :  

  • Daily mechanical plant checks (visual inspection, detect unusual noise, lubrication, vibration, belt check etc.)
  • Checking and measuring the humidity level of raw materials (stone, sand) and, by the same token, visually observing the conditions before each shift.
  • Dosing of concrete and distribution of concrete mixers on the different sites according to the required specifications and ensuring the conformity of the concrete delivered.
  • Order raw materials according to planned orders or anticipated volumes.
  • Responsible for planning drivers (concrete mixers), yard men, regarding deliveries and production for the next day.

 

Inventory :  

  • Enter raw material receipts into the “Command Batch” system and track them according to the “Command Batch” system report.
  • Produce end-of-day reports (inventories, reception and consumption of raw materials, m3 produced, chatters, etc.) and transfer the information to your shift replacement if necessary.
  • Carry out physical inventories (raw materials and others) with your manager at the end of the month. 

 

Administration:  

  • Taking orders by phone and promoting our Turbo & VAP products during CODs and to customers.
  • Perform daily ticket checks and forward to invoicing. (Includes ticket checks "Waiting times - Superplasticizer etc.)
  • Control entry and exit times as well as lunch and break times according to the collective agreement of all hourly employees and/or make the daily report of deliveries made by the "Broker" trucks by checking the areas for each of the delivery tickets.
  • Carry out daily monitoring of cash sales as well as the use of concrete mixers (Lafarge, Broker, internal and external rentals) and follow up with the manager.

 

Optimization and communication:  

  • Communicates regularly and daily with the distributors of other plants in order to optimize the use of the concrete mixer truck fleet and personnel for the same day as well as the following day.
  • Maintain constant communication with the manager and keep him informed during a plant breakdown, production/delivery problems as well as any health/safety incident.

Job Details

The Administrative Coordinator is responsible for manifesting, scanning, POD’ing and related duties for The Day & Ross Transportation Group. The purpose of this role is to support the business by looking after the administrative processes for the terminal.

How You’ll Help:

  • Provide administrative support to the managers and office staff team and ensure that administrative matters are organized and dealt with in a professional manner
  • Following up with customers (Walmart-Costco)
  • Send appointment requests via, email, telephone and Boards Update system with appointment information.   Manifest and arrange appointments.
  • Pick-up Bills and POD’s: Enter bills and POD’s. Upload and edit EDI files. Ensure COD and cash shipment payments are received before tendering to agents.
  • Reports: POD reports – following up on PODs Make sure PODs are imaged. Missed appointment report following up with customers if freight not delivering.
  • Call customers regarding appointment change, status, issues regarding appointment. 
  • Log customer interaction consistently and accurately in AS400. 
  • Redirect documents intra- and inter-terminal as well as to customers as needed
  • Answer phone calls and email enquiries and relay calls and messages to appropriate managers and employees
  • Attend meetings, take notes, and follow up on decisions within area of responsibility
  • Assist drivers with preliminary paperwork information such a bill of lading
  • Input skeleton bills into the system ensuring that all critical information is input, enter comments regarding damages, shortages and ensure required signatures are present
  • Gather, enter, and update data to maintain software database on daily basis as appropriate, establish and maintain files and records 
  • Ensure that correct information about missed pickups and deliveries is rescheduled
  • Support and adhere to OS&D team procedures and policies to prevent OS&D loss; tracking freight movement and damages to prevent OS&D loss
  • Assist with data entry
  • Other related duties as may be required

 

Your Skills & Experience: 

  • Minimum of secondary education, with preference of post-secondary education (general stream), or a combination of education and experience.
  • Previous Transportation or operational experience is preferred, various roles within transportation would be beneficial 
  • Communication skills - advanced
  • Computer skills – accuracy, MS products, AS400, web based programs
  • Demonstrated customer relationship skills
  • Strong conflict resolution skills
  • Able to work deadlines in high transactional environment
  • Ability to champion business needs in a collaborative manner to colleagues
  • Results focused
  • French & English
  • Able to work with little supervision
