Job Details

As an Ambassador of our Solutions, you will provide expertise and analysis in the areas of Compensation, Benefits, HR Administration and Payroll to a public sector Hospital client in Ontario with over 4000 employees. As an Advisor, you will provide thought leadership and best practice to the client on how to handle unique scenarios and escalations. As a Researcher, you should be ready to investigate questions using a variety of resources to obtain necessary data. As an Analyst, you will create reports to provide to various stakeholders, review them for accuracy and provide guidance on improvements or efficiencies.

 

Responsibilities

 

  • Manage work requests from the client to determine priority, implementation timelines and liaison with technical team for completion
  • Manage the implementation of Collective Agreement renewals including: communications to employees, updating of applicable documents, updating of applicable plans, premiums and employee data on PeopleSoft and the calculation of retro payments
  • Manage the Hospital of Ontario Pension Plan (HOOPP) for all employees. Including regular auditing, missed contributions for employees on leaves and annual reconciliation
  • Complete job evaluations for newly created roles within the Hospital
  • Complete all required Ontario Hospital Association (OHA) Salary Survey annually
  • Ensure the accurate processing of a bi-weekly pay for 4000 employees on PeopleSoft, including auditing, deductions, additional payments, union dues, benefit deductions and review of GL files prior to sending to the client
  • Reconciliation of year-end T4/T4A’s tax slips and government reporting, and regular auditing throughout the year
  • Preparation of all biweekly, monthly and annual remittances for third-party vendors and government organizations (i.e. union dues, benefit carriers, WSIB, EHT, Taxes)
  • Complete WSIB Form 7 earnings reporting
  • Maintain and update documentation regarding HR and Payroll processes and controls
  • Support continuous process improvements and reengineering
  • Support HR/Payroll project initiatives including documentation, testing, and training
  • Testing any new enhancements or fixes to PeopleSoft before they are released into Production environment with support from the technical team
  • Partner and collaborate with the client and other team on resolving HR/Payroll related issues
  • Other tasks as assigned
  • Ability to come to the office in Hamilton, Ontario 1-2 days per week, depending on workload, training and tasks

Salary Range:  $57,000-$85,000
Performance Bonus or Sales Incentive Plan:  10%

Job Responsibilities:

Responsibilities:

  • Provides guidance to employees by assisting in solving day to day concerns, utilizing the Magna Employee Charter while implementing the policies and procedures of the Company.
  • Responsible to oversee fulltime and temporary recruitment and selection activities including the preparation of job postings, maintenance of requisitions, conducting internal and external searches, interviewing candidates, providing feedback to candidates and the preparation of all employment offers and related paperwork.  
  • Responsible to lead, coordinate, conduct and continuously update the employee orientation program.
  • Responsible to lead training and development inititatives and programs ensuring successful completion through prescribed development plan of new and existing employees.
  • Support Perf Reveiws administration ensuring targets are met following HR processes.
  • Responsible to support disability programs, supports HSE in administration of modified work arrangements, incident/accident investigations and audit action plans.
  • Administers progressive discipline up to written warning ensuring procedure and investigation process is followed.  Supports HR Manager in progressive discipline after written level.
  • Administration of benefits including employee sign-ups and changes and updating of relevant files and systems.
  • Support payroll through effective communication of benefits, employee requests and relevant payroll changes.
  • Ensures effective and accurate administration of employee records, including, but not limited to: organization charts, training, benefit and general employee information both in employee files and related employee database systems (Workday).
  • Assists Leaders to ensure the fair and reasonable implementation of company policies and procedures.
  • Participate in the development and regular updating of company policies, programs and the Employee Handbook in accordance with legislated requirements, the Employee Charter and Magna guidelines.
  • Member of JHSC and other committees as deemed relevant from time to time.
  • Prepares month-end charts and reports for HR action plans and key measurable as required in a timely manner.
  • Contributes to various Audit results and the subsequent Action Plans.
  • Coordinates Employee Meeting presentations, Communication Boards and Social events.
  • Project driven work as directed by HR Manager.

Education:

  • Completion of Post Graduate or Post-Secondary Education in Human Resources Management
  • 1-3 years progressive HR experience in manufacturing environment
  • Completion of Human Resources designation (CHRP) or working towards
  • Working knowledge of all current Employment Legislation, ESA, OHSA, AODA, Magna Employee Charter
  • Proficient in Microsoft Office, Work, Excel, PowerPoint, and HRIS systems
  • Ability to read and write English fluently.

Job Responsibilities:

Responsibilities:
    • Directs work of all Human Resources positions continually reviewing / updating using Plan / Check / Do Provides instruction, guidance and leadership to employees by assisting in solving day to day problems, utilizing the Magna Employee Charter while implementing the policies and procedures of the company.
    • Development of divisional policies and procedures as required to support corporate, legislative and divisional objectives.
    • Manages Recruitment activities, producing job descriptions, working with recruitment consultancies, organizing interviews, ensuring integrity of process.
    • Manages Training and development activities for division, including annual assessment of training needs, budgets and providers ensuring support for continued development of employees.
    • Investigates / implements   Best Practices at other divisions.

    • Contributes to various Audits (H&S/Environ/.EOS, HR/Ergo Assessment) results and the subsequent Action Plans.
    • Analyses information from all departments for various applications such as WSIB / turnover / absenteeism / PPE etc.
    • Provides input to the business planning process as it relates to the goals and objectives in the workplace.
    • Full compliance with all administrative requirements within MBCM as well as compliance with current Customer standards and procedures / quality programs and Environmental Management Systems Standards.
    • Observes all Federal / Provincial Regulations including standards for safe working conditions as outlined in the Occupational Health & Safety Act as well as Policies and Procedures outlined in the Employee Handbook.
    • Participates/ encourages participation in Continuous Improvement / Suggestion Programs.
    • Performs other assignments as requested by Management from time to time as well as making Manager / Designee aware Champions Employee Advocate Program, working with advocate / management to resolve all issues on a timely basis.

    Education/Experience

The HR Services Coordinator will be responsible for providing administrative support for the HR Services department.  This role is the point of contact for all SAP HR related questions and the second level support for the SAP Manager Self-Service (MSS) portal.  Additionally, the incumbent will be responsible for the accurate and timely management of SAP HR data, conducting audits to identify, resolve or prevent errors and inaccurate data, and generate reports as required.  Accountable for delivering consistent and high-quality customer service, the HR Services Coordinator will also provide general HR administration support and counsel to the business related to HR programs and processes, in adherence to service level standards; proactively identifying and providing process improvement recommendations to management.

Snapshot of a Day-in-the-Life:

  • General administration of HR programs and services in accordance with standard operating procedures and service level agreements established with the HR Centres of Excellence (COEs)
  • Accurately and efficiently respond to inquiries regarding HR systems, policies, programs and administrative procedures using case management system software; escalating to HR COEs when necessary
  • Ensure HR systems data integrity, resolve issues and make recommendations for process improvements as necessary
  • Maintain accurate documentation for HR processes including Process Flows/SLAs/Work Instructions/Dashboards, and others as required.
  • Perform HR systems maintenance, audits and relevant reporting in accordance to plans and established guidelines
