The Human Resources Administrator will work alongside the GTA HR Consultant team to provide support for a wide range of administrative HR tasks and projects. The HR Administrator will be detail-oriented, and have a proven ability to work in a fast-paced environment while juggling multiple priorities at once.


What you will do

  • Create a variety of regular and ad hoc reports, with direction and assistance from HR Consultant team;
  • Support with scheduling and preparation for various HR processes including annual performance reviews and compensation planning;
  • Prepare meeting agendas and support with notetaking and follow-up items;
  • Draft communications and updates to be shared with business units and stakeholders;
  • Completion of tasks and reminders related to day-to-day HR matters and annual processes;
  • Provide additional support to the team as required, such as research, preparation of spreadsheets, etc.;
  • Project work, as assigned.

At times, business needs arise and employees are required and agree to work beyond their normal work day or work week to fulfill the accountabilities required for their job. Likewise, people need time to devote to personal matters, and our approach to flexibility provides for this.


What you bring to the role

  • 1-3 years of administration experience (HR experience considered an asset);
  • College diploma or an equivalent combination of education and experience with an administrative assistant or HR skillset;
  • Excellent (oral and written) communication skills, acumen and innovative thinking;
  • Strong technical proficiency with experience using Microsoft Office applications, including Excel and PowerPoint, and interest in learning new application functionality.

  • Collaborates with People and Culture Consulting team and other relevant stakeholders in the development and/or customization of training materials.  Leads and facilitates training sessions for assigned client groups and to the broader organization
  • Leads recruitment efforts for assigned client groups.  Develops and maintains a robust talent pipeline using various sources including but not limited to social media and participation in networking events.  Identifies, recommends and implements recruitment channels, tools and resources
  • Leads, supports and participates in People and Culture-related projects and initiatives
  • Acts as the People and Culture lead for client transitions or account demobilization for assigned client groups
  • Other duties as assigned

Knowledge & Skills

  • Community college or university degree preferably in business administration or Human Resources
  • More than five years of work experience in a human resources generalist role
  • Thorough and expert level knowledge of human resources management-related legislations such as the Employment Standards Act applicable to assigned province(s). General understanding and knowledge of human resources management disciplines including but not limited to compensation, pension and benefits, labor relations, training
  • Advanced ability to establish trust and credibility
  • Advanced consulting skills along with a high degree of business acumen and ability to accurately assess business issues and provide sound advice and solutions
  • Advanced ability to exercise sound judgment
  • Advanced facilitation skills

This is a regular, full-time position with a salary range of $73,599 - $91,998 per annum. The starting salary will be based on the successful candidate’s competencies, including but not limited to experience, education and performance related to this role.

Snapshot of a Day-in-the-Life:

  • First point of contact for all HR inquires
  • Keep employee information accurate and up-to-date in SAP including job, wage, address, direct deposit, etc.
  • Responsible for bi-weekly payroll and ensuring accurate coding and information in Kronos (time and attendance system) is kept up to date
  • Lead the full-cycle recruitment process for all frontline team members and temporary staff, including coordination of internal job posting process in collaboration with the supervisors
  • Arrange and lead all new hire orientation (including full-time and temporary staff); collect and maintain orientation training records in conjunction with FSQA and H&S
  • Onboarding new hires with first-day information including shift details and locker assignment; input new hire data into SAP accurately and timely
  • Manage the swipe card program for new hires, employees on leave, and terminated employees as well as visitors
  • Respond to employee inquires and requests including LOAs, benefit/pension, payroll/ADP, and other HR-related policies and procedures
  • Process payroll for all 3rd party contractors as required
  • Tend to the main entrance by greeting visitors, sign-in procedures, and notifying the point-in-contact; sign for deliveries
  • Accurately maintain paper and electronic employee files in a confidential manner

Key Qualifications:

 

  1. Post-secondary education in a related discipline such as Office Administration certificate/diploma, Legal Administration certificate/diploma, Human Resources or Industrial Relations certificate/diploma, or the equivalent combination of education and experience.
  2. Considerable administrative experience working within a legal or political environment, preferably in municipal operations.
  3. Considerable experience in the preparation of standard correspondence and reports, editing the layout and formatting of complex reports, presentations using Microsoft Office (i.e. MS Word, Power Point, Excel, Access).
  4. Accurate and efficient keyboarding skills (minimum 70 words per minute) to record notes in investigation meetings (e.g. dicta-type meeting minutes) etc., with the ability to use database software, such as SAP.
  5. Excellent organizational and time management skills, including attention to detail, while being resourceful and adaptable, with the ability to implement administrative work procedures and maintain an organized practice within a fast-paced and complex environment.
  6. Ability to multi-task (e.g. plan, organize and distribute appointment, meeting and interview notifications; set priorities, meet deadlines) and assess situations to determine importance, urgency, and identify corporate risk for review.
  7. Ability to work effectively with minimal supervision and exercise independent judgement to handle conflicting priorities, confidential/sensitive matters and work demands.
  8. Highly developed interpersonal skills to develop and maintain relationships with cross-functional departments, teams, management, and external parties.

We are looking for a dynamic individual to join and work within the HR Data team which is responsible for recommending and implementing solutions to HR business challenges. Reporting to the Manager, HR Data Requirements, this individual interfaces with business groups to identify and prioritize business requirements for HR.

Accountabilities (Responsibilities): 

  • Assess, coordinate and develop business requirements for new HR System development in accordance with business needs and timelines. Areas of support within HR include Benefits, HR Core, Compensation, Pensions, Training etc. 
  • Work with appropriate stakeholders to proactively identify and evaluate their business requirements and identify impacts associated with business decisions 
  • Facilitate process review and improvement initiatives
  • Manage timelines and coordinate solutions with other members of HR Data Team
  • Ensure business resolutions and impacts are communicated to impacted stakeholders ensuring smooth and successful transition of changes
  • Solicit and consolidate input from relevant stakeholders within the HR department and other areas of the business

Qualifications

  • A relevant University degree/technical certification, and/or relevant experience commensurate to the role 
  • 3-5 years of HR business facing experience preferably in a large organization.
  • Product management experience is preferred. 
  • Project management experience is preferred.
  • Excellent communication skills and ability to build positive relationships with colleagues, the management team, internal clients and 3rd party providers
  • Exceptional analytical, organizational and communication skills 
  • Proficiency with Oracle HRIS application and knowledge of multiple functionalities 
  • Capability to apply attention to detail, and ability to effectively manage time and competing priorities 
  • Ability to work effectively under pressure and in rapidly changing environments or uncertain conditions

About This Opportunity

In this role you will work with a great team in all aspects of human resources and labour relations. You will execute activities aligned with the business while ensuring strategies, plans and initiatives are delivered in compliance with governing regulations, internal policies and best practices. This is a critical role in leading and fostering productive labour relations and employee engagement. This position is primarily based out of the GTA, preferably at our Brampton or King Street facility and supports our Greater Northern Ontario market unit. Travel to our Barrie facility on a weekly basis will be required. 

Responsibilities

•    Lead labour relations priorities within the assigned region including the administration of collective agreements and labour management relationships.
•    Provide advice, coaching and counseling support to local management in the area of labour relations: contract interpretation, discipline, attendance management and grievances.
•    Lead investigations and fact finding on employee and labour relations issues related to harassment and disciplinary issues.
•    Balance the advocacy of employees with the requirements of the business to ensure decisions are fair.
•    Implement Human Resources programs for all employees salaried, union and non-union.
•    Champion the performance and talent management processes in the Region including participation in talent reviews and succession planning.
•    Conduct training for employees and managers as required on labour relations, attendance management, anti-harassment and discrimination.
•    Ensure best practices are followed by staying current with labour and employment legislation and HR industry developments and contribute to continuous improvement by influencing HR strategies, policies and procedures.
•    Act as a change agent to support critical business initiatives and support leaders in all elements of effective change management.
•    Required to travel to the Barrie facility on a weekly basis and be in our facilities 2-3 days per week.

Qualifications

•    University degree, college diploma or equivalent experience with a focus in Human Resources, Business Administration, or related field.
•    Minimum of 3 years human resources/labour relations is required.
•    Experience supporting multi-location operations with multiple collective agreements. 
•    Proven ability to work closely with leaders to support the resolution of employee issues in a fast-paced manufacturing and distribution environment.
•    Customer focused with proven relationship-building strengths and solid experience developing workforce plans based on business goals.
•    Comfort and ability to thrive in a high-change and fast-paced environment.
•    Proven collaboration skills with the ability to gain consensus through personal influence.
•    Demonstrated ability to promote an inclusive work environment and support workforce diversity. 
•    Comfort with HR data, analytics, and HRIS systems is an asset.
•    Capable of communicating and supporting employees at all levels of the organization.

What you will be doing:  

  • Providing welcoming service to all colleagues arriving to the colleague housing office, offering counsel and support when necessary
  • Elevate and advance department processes and SOPs
  • Coordinate the day to day Glacier Residence and open-market housing portfolio inventory
  • Assistance of biweekly rental revenue postings
  • Responsible for departmental administration, including biweekly payroll processes

Qualifications

 

Your experience and skills include:

  • Hotel operation experience an asset
  • Property Manager experience an asset
  • Class 5 Drivers License with a clean drivers abstract
  • Computer experience in Microsoft Office (Word, Excel, PowerPoint, Publisher)  and Moneris/POS Systems
  • Outgoing and proven self-starter and able to work unsupervised
  • Strong administrative skills
  • Excellent organizational and interpersonal skills
  • Strong written and oral communication skills
  • Ability to support a collaborative environment
