In this role, you will support three lines of business within the Legal Services Branch. This position is responsible for providing a broad range of clerical and administrative services in support of the day-to-day operations of Legal Services.   Major outcomes include the maintenance of accurate records to ensure the branch achieves its legal and corporate priorities. 

This position will demonstrate priority in supporting the core needs of the branch, providing support on critical and time sensitive matters, maintaining business area priorities and organization.

  • Open and close claims using document management systems (e.g., IVOS).Assist Adjusters and Analysts with a variety of administrative tasks including (but not limited to) bonds/letters of credits, claims preparation, file management, insurance tracking, renewal certificates of insurance, and data entry
  • Direct claims-related telephone, email and online inquiries to the appropriate Adjuster
  • Obtain LRT and EPS reports for files
  • Conduct searches ( AMVIR and court searches, etc).Manage calendars and diarization systems
  • Create cheque requisitions, including necessary follow-up, as required
  • Assist with billing, invoice management and recovery payment report
  • Look for efficiencies within current administrative processes, and recommend improvements to the Supervisor
  • Distribute and send mail, faxes, and couriers
  • Complete and process forms and perform data entry functions
  • Draft documents using established templates (memos, letters, reports, inquiries, etc.)Create and maintain spreadsheets and/or other tracking documents
  • Using mail merges, create miscellaneous forms, letters, labels and envelopes
  • Day to day file management including obtaining documents, printing, photocopying and scanning documents
  • Assist various Legal Services staff with administrative tasks and processes as requested
  • Other duties as assigned

Qualifications

  • Completion of the twelfth (12th) school grade, including business subjects with emphasis on general office practices or completion of an appropriate certificate program from an approved business school/college
  • A minimum of two (2) years of Insurance and Claims Management and/or Legal experience is an asset
  • Knowledge of organizational and file management principles
  • Abilities: highly organized, works well independently and as part of a team, detail-oriented
  • Skills: scheduling, time management and priority setting, communication, direct interaction with others, technical capacity with Google Suite and electronic document management systems
  • Hire is dependent on Criminal Record Check satisfactory to the City of Edmonton, and there may be a cost associated with this requirement of this position

Qualifications

  • Completion of the twelfth (12th) school grade including business subjects with an emphasis on word and information processing, or completion of an appropriate certificate program from an approved business school/college, supplemented by training in basic microcomputer applications.
  • A minimum of two (2) years diversified word and information processing experience.
  • Any further certificates, diplomas or degrees in an area related to policing, law or computer technology would be considered an asset.
  • Strong organizational, interpersonal and time management skills.
  • Proven technical ability working with various computer software programs and databases.
  • Experience working with media technology, databases, and spreadsheets.
  • Knowledge of the Criminal Code and court procedures would be an asset.

The Edmonton Police Service is seeking a highly motivated individual to fill the challenging position of a CPIC Unit Supervisor.
This position involves providing information to police officers and courts, as well as ensuring effective service delivery to internal and external clients with regards to CPIC requirements.  The CPIC Unit requires one (1) individual to assume the following responsibilities: 

  • Ensure the CPIC Unit is aligned with the Branch and Division strategic priorities by developing and advancing the Unit’s goals and objectives, as set out by the leadership team.
  • Supervise and coach/mentor all employees who work in the CPIC Unit to ensure quality customer service and all CPIC functions are maintained to National CPIC standards and performance metrics.
  • Provide guidance to CPIC staff and trainees on the CPIC system and arrange for additional training to assist in continued employee development.
  • Prepare and deliver employee performance reviews.
  • Measure and report on the Unit’s performance measures and outcomes to the Branch’s leadership team.
  • Lead and participate in the selection process for new employees.

Qualifications

  • Completion of the twelfth (12th) school grade.  
  • Completion of a certificate program from an approved business school/college would be considered an asset.
  • A minimum of five (5) years progressively responsible and diversified office experience, including a minimum of two (2) years experience in the supervision of a moderate to large clerical support unit.
  • A minimum two (2) years progressively responsible experience with CPIC system and CPIC compliance protocols is an asset.
  • A minimum two (2) years experience with the administration of criminal justice/court records and use of police information systems, including provincial or municipal police information systems.

  • Responsible for the administrative functions supporting the collection of court-ordered DNA, including facilitating institutional attendances, database queries and audits, report writing, and communication with members of the public and EPS stakeholders.
  • Managing the Automated Fingerprint Identification System (AFIS) CAR Y transactions ready for registration in the RCMP National Fingerprint Repository.
  • Modification of existing CAR Y transactions for data correction/modification, and/or addition/deletion of charges.
  • Conducting subject searches on EPROS, EMUGS, CPIC, JOIN and other databases.
  • Validation checks of entry data in EMUGS.
  • Data entry and updates to various databases which include EPROS, EMUGS and AFIS.
  • When required, provide assistance by responding to telephone and counter queries from the general public, police members and other agencies relating to EPS identification processing and DNA collection services.
  • When required, querying EPROS, EMUGS, CPIC, JOIN, ORCA, iNetviewer computer systems/databases to retrieve subject data and verify correctness of information on release documents.  
  • Performing other related duties as required including cross training with other clerical positions within the unit for relief purposes. 

Qualifications


 

  • Completion of the twelfth (12th) school grade including business subjects related to word and information processing or completion of an appropriate certificate program from an approved business school/college, supplemented by training in basic microcomputer applications or equivalent experience.
  • A minimum of two (2) years diversified word and information processing experience.
  • The ability to process a large volume of work with a high degree of accuracy.
  • Working knowledge of EPROS, EMUGS, CPIC, JOIN, ORCA and iNetviewer would be considered an asset.
  • Working knowledge of the Criminal Code and the Identification of Criminals Act would be considered an asset.

The Edmonton Police Service requires an Intelligence and Investigative Support Clerk with excellent organizational and interpersonal skills to provide support to the Field Intelligence Officer (FIO) and members of Patrol, Crime Suppression and Investigative Response (IRT) Branches.  Reporting to the Administrative Staff Sergeant of the Branch, this position will be responsible for performing the following duties:

  • Updating the Offender Tracking spreadsheet with court dates, conditions, warrants and MO information
  • Running dashboard and patrol management reports to be used for presentations at all different levels within the Branch.
  • Maintaining Section spreadsheets, logs and dashboards
  • Collecting statistical data on city-wide prevalence of crime trends, series or events. 
  • Compile and disseminate daily/weekly/monthly/yearly statistics assisting with the creation and updating of Target Sheets, Subject Profiles, and Person of Interests.  
  • Assisting the FIO Constables with the creation and posting of EPS Net Bulletins.
  • Manage, track and input flags within NICHEUA
  • Assisting Investigative Response Teams in the creation and maintenance of investigative products and preservation and organization of that information.
  • Assist in the analyzing data obtained via Production Orders.
  • Create and maintain offender show cause/bail packages and CRIIs. 
  • Convert various types of documents and reports into electronic formations.

Qualifications

  • Completion of the twelfth (12th) school grade including business subjects related to word and information processing or completion of an appropriate certificate program from an approved business school/college, supplemented by training in basic computer applications.
  • A minimum of two (2) years diversified word and information processing experience. 
  • Proven team player.
  • Experience in a public customer service-oriented environment.
  • Proficiency with all Microsoft Office suite products, particularly Excel and Visio. 
  • Proficient in CARM.
  • Proficiency in NICHEUA 
  • Extensive experience in the maintenance of databases and the preparation of performance management reports.

  • Build, validate, and finalize quote estimates for repair work; coordinate with Forepersons or Technicians; seek approval from client and/or appropriate authorization level
  • Monitor the ‘Parts Workflow Dashboard’ for quote status, creating action quote reviews, and adjusts and amends quotes as repair work progresses
  • Manage the Supervisors’ calendar and coordinate garage specific functions, such as safety inspections, meetings, emergency response drills
  • Perform weekly review of time entry data, investigating errors and consulting with Payroll, Forepersons, and employees to validate information and make necessary corrections
  • Provide end-to-end processing of all payroll transactions, including auditing and processing time entries through payroll systems
  • Create purchase orders in SAP Ariba, notifications, service orders, and reconcile financial data
  • Maintain data to support monthly variance reporting
  • Create, manage and complete work orders using M5 applications
  • Review work orders for accuracy and verify labour hours, parts, fabrication costs, and vendor costs
  • Coordinate with client for pickup and maintaining system data
  • Maintain records for vendor invoicing, inspection forms, Commercial Vehicle Inspection documentation and licensing information
  • Provide general administrative support to Garage Supervisor and Forepersons, including managing calendars, meeting management, creating agendas and minutes, and coordinating events
  • Assist Controllers and Forepersons to coordinate vendor and other on-site activities and maintain documentation
  • Assist employees with locker inventory, uniform ordering, and other coordination tasks
  • Distribute mail and bulletins, order supplies
  • Perform other related duties as required

Qualifications

  • Completion of Grade 12 including business subjects related to word and information processing OR
  • Completion of an appropriate certificate program from an approved school or college
  • A minimum of 3 years of progressively responsible related experience, including payroll, work order management, finance, quote management and auditing
  • Proficiency in with Google applications (Gmail, Calendar, Sheets, Docs), M5 work order management, SAP Plant Maintenance and Ariba
  • An understanding of basic automotive terminology
  • The ability to maintain awareness of current policies and procedures and make decisions accordingly, including an understanding of sharing protocols to maintain confidentiality
  • The ability to maintain moderately complex records and to prepare reports 
  • The ability to apply clauses of the Collective Agreements to verify and/or research time/payroll errors for corrective action
  • Proven ability to work independently, as well as be a productive and collaborative member of a team
  • Excellent communication skills with the ability to write accurately and concisely for a broad audience
  • Excellent customer service and interpersonal skills, including the ability to work effectively with a clerical network to provide administrative advice, support, and assistance to meet the time-sensitive needs of a diverse group of stakeholders
