Administrative Support III casual opportunities exists within Alberta Health Services, Fort McMurray area with the Addiction and Mental Health Services. Reporting to the AMH Manager, the incumbent performs a variety of duties: administrative and receptionist responsibilities for the various programs. It is important that the person be multi-task oriented. This position also provides program information to clients, families and other community agencies. This position is also responsible for maintaining accurate electronic client records relating to the service, time keeping etc. The incumbent must also have a good working knowledge in Microsoft Office, Microsoft Excel and be able to work under pressure. In addition to a competitive rate of pay, AHS currently has a Fort McMurray Allowance in place to an annual maximum of $12,480. This allowance is non-pensionable and is payable on an hourly basis for all hours paid at the basic rate of pay. This position has been identified and is anticipated to transition to Recovery Alberta effective September 1, 2024. By applying on this posting, if you are the successful candidate, you will transition to Recovery Alberta. - Validate invoices against contractual terms and ensure supporting documents are attached;
- Route invoices for proper approval and payment;
- Monitor the delivery of services to aid in tracking and forecasting expenditures;
- Organize and submit monthly financial accruals for the Business Units being supported;
- Adhere to crucial monthly financial deadlines;
- Assist with corporate credit card reconciliation;
- Handle provisioning tasks, such as onboarding new employees;
- Provide meeting minutes support for safety meetings;
- Provide Facility/Building Services support and Physical Access Control, which includes working with the local property management team to provide access for contractors, requesting access cards, troubleshooting errors, and issuing and tracking field site keys and lockers keys;
- Assist with the Corporate Community Investment (i.e., Charity Campaigns, Breakfast programs, Days of Caring, etc.);
- Providing backup administrative support for vacation/sick relief as needed;
- Provide warehouse support as needed;
- Forklift experience is considered an asset;
- Other duties as requested; and

Qualifications:
- A minimum of Grade 12, High School Diploma, with 2 + years office administration experience;
- Energy Industry experience is considered an asset;
- Post-Secondary Business Administration is considered an asset;
- Excellent communication and interpersonal skills;
- Superior organizational skills and a high attention to detail;
- Ability to work with minimal supervision;
- SAP experience is considered an asset; and
- Strong computer skills with high competency in MS Office, Word, Excel, and SharePoint.

How You’ll Help:
- Interpret Bill of Lading/POD information and accurately update the AS400/Centerline System to create and/or revise an existing probill.
- Rate and Audit the rates to ensure billing is accurately invoiced
- Assign the accurate bill to customer in the AS400/Centerline System
- Release and/or update errors with EDI (Electronic Data Interchange) files into Billing Queue
- Scan and index Bills of Lading and Proof of Delivery documentation into DataMagine/Server
- Extract various reports from the AS400/Centerline system, validate information for accuracy and action items as required
- Generate and distribute invoices and/or supporting documents via mail, email and web portals
- Release invoices from system within established guidelines
- Contact customer to validate email/mailing address and/or discuss invoice options, as required
- Validate, create and/or update Customer Master accounts and set invoice options according to established protocols
- Track non-standard customer invoice requirements
- Escalate issues within established guidelines to ensure accurate invoicing
- Investigate reoccurring invoice issues to get to the root cause. Work with all levels of the business, as well as, external customers to implement sustainable solutions
- Collaborate across internal departments to ensure invoices are created/updated accurately within the timelines set forth by the business
- Maintain positive customer relationships; both internally and externally
- Exhibit leadership at all times, be accessible and approachable to all Billing Team members
- Other related duties may be required to support the Administration Team
Your Skills and Experience:
- Minimum of secondary education
- Post-secondary education in business administration or related field, an asset
- A suitable combination of education and experience may be considered
