Job Responsibilities:

The Customs & FTA Analyst will have responsibility for various customs compliance tasks to support the MML divisions that are supported by the MML Customs Team.  This position will be a subject matter expert on tariff classification and free trade agreements for Canada, Mexico, and U.S.   The position will work closely with external suppliers, customers, manufacturers, customer third party service providers to obtain information necessary to make correct classification and free trade agreement origin determinations.  In addition, the analyst will work closely with and act as a resource to internal customers, including, but not limited to, MML divisions, purchasing, operations, engineering, and sales.

 

GENERAL

  • Responsible as the process owner and management of the free trade agreement process which includes, but is not limited to, solicitation, document review, supplier follow up, requests for customer FTA qualification, verification of, and providing customer FTA  information in format required by customer
  • Responsible as the process owner and management for customer requests for information related to customs and free trade agreements.  Includes, but is not limited to, LVC statements, accumulated value statements, AALA analysis/completion, country of origin affidavits, manufacturer affidavits
  • Provide technical and operational support to Group Corporate, division, and other internal Magna stakeholders.  Internal stakeholders include, but are not limited to, Purchasing, Finance, Legal, Sales, R & D, Program Managers and Engineering. 
  • Support Magna cross functional teams and divisions with Duty Impact analysis to assist with sourcing decisions, customer quotes and landed cost calculations
  • Responsible for determining HTS tariff classification for production parts and non-production parts.  Responsibility includes entering data into “ORIGIN” database and maintaining rationale incorporating the General Rules of Interpretation (GRI). 
  • Maintain and periodically review tariff classification database
  • Ensure recordkeeping requirements are complied with for Canada, U.S. and Mexico for all tariff classification rationale and free trade agreement solicitation and qualification
  • Provide operational support to MML divisions such as, but not limited to, hand carry shipments, shipment issues/delays and reporting of shipment status/updates
  • Support Trade Compliance Manager on metrics, customs audits, and internal customs reviews
  • Support the Trade Compliance Manager in managing customs broker relationship and respond to broker’s requests for information on incoming shipments to obtain and provide critical information to broker to ensure highest levels of import entry compliance are met
  • Facilitate post entry adjustments as necessary (refunds and corrections)
  • Develop and maintain good working relationship with each division   
  • Responsible as the process owner and management of CARM and its corresponding processes.  Process includes monitoring of the release prior to payment bond and ensuring timely payment of applicable duties and taxes to CBSA             
  • Monitor US CBP ACE monthly to ensure there are no Customs requests for information that may have been missed
  • Work with Trade Compliance Manager to respond to customs requests for information and other customs or other government agency enforcement issues 
  • Develop and maintain internal controls to ensure that divisions are compliant with Canadian, Mexican and U.S. customs regulations, and that reasonable care and responsible supervision as it relates to transactions involving Canadian, Mexican, U.S. and international customs.
  • Prepare reports as required by management (division and group and Magna corporate)
  • Actively participate in annual Magna Customs Summit
  • Process mapping and maintaining of department procedures
  • Monitor and maintain required Canadian, U.S. and Mexican customs bonds, guarantees, permits and licenses
  • Perform other customs related tasks not specifically mentioned but may be required from time to time
  • Upholds the principles of the Magna Employee’s Charter, Magna’s Operational Principles, Magna’s Environmental Health and Safety Policy & Procedures, MML Quality Policy, Program Execution Process and Business Protocols.  Must understand and respect the laws and cultures in countries which Magna conducts business & Magna compliances.

QUALIFICATIONS:

EDUCATION:

 

  • Minimum 3 years’ experience in a customs & trade related field
  • Post secondary education in a Trade Compliance related program

 

KNOWLEDGE, SKILLS, & ABILITIES

  • Familiarity with Mexico Customs Requirements
  • Familiar with ERP systems (Baan, CMS, SAP and Trans4M etc.)
  • Customs Certified Specialist Designation preferred

  • Knowledge of Free Trade Agreements, Special Trade Programs, Goods Returned programs and their relevant documentary requirements
  • Understand country of origin and marking issues, recordkeeping requirements and duty deferral programs
  • Willingness to learn new regulatory requirements within and outside of North America

  • Ability to communicate effectively in Spanish

 

WORKING CONDITIONS:

Normal amount of sitting or standing, average mobility to move around an office environment, able to conduct normal amount of work at a computer. This position may require domestic or cross border travel (10%).

How You’ll Succeed

Review and process accounts payable for Branch Manager approval, as well as monitor branch summary of revenue and expenses.

  • Sales Support & Customer Service – Assist Branch Manager to perform Investment Advisor duties such as taking buy/sell orders of T-Bills, Corporate Paper, Bankers Acceptances, Mutual Funds, stocks and bonds. Write up trade tickets ensuring accuracy of all particulars pertaining to a trade. Coordinate and notify brokers of new stock and bond issues, cease trades and halt trading. Ensure customer service standards and operational procedures are communicated and maintained by liaising among many departments within Wood Gundy.

  • People Management – Assist with overseeing the hiring, training, scheduling, supervision and performance management of all support staff in the branch. Support Branch Manager in cultivating a performance oriented culture and develop strong employee relations with support staff by treating employees fairly and consistently and maintaining excellent communication.

 

Who You Are

  • You’re a certified professional. You have successfully completed the Canadian Securities Course (CSC) and Conduct & Practices Handbook (CPH), in order to obtain Investment Representative (IR) licensing.

  • You have demonstrated experience in the financial service brokerage industry. You have strong organizational and administrative skills to deal with numerous activities in a fast-paced brokerage, with varying degrees of priority.

  • You're passionate about people. You have strong management and interpersonal skills to effectively manage and coach support staff. You have the ability to meet the needs of staff in a highly competitive environment where staff and client mobility is high.

Job Details

Reporting to the Supervisor, Business and Customer Service, The Part-Time Facilities Booking Clerk is responsible for timely, courteous and effective handling of all front-end customer inquiries, requests and transactions in the Facility Booking Office by providing information in response to facility rental inquiries and prepare, process and issue one-off booking requests and last minute over-the-counter bookings. The position also provides administrative, clerical duties within the Facility Booking Office including checking and responding to telephone calls, voice mail, email and redirecting client inquiries.

Responsibilities:

  • Include providing customer service including, receiving, documenting, and accurately responding to requests, inquiries and complaints from the public and internal clients, delivering front-line service in person, by telephone, fax, voicemail, email, and processing applications
  • Receiving and processing payments, ensuring various cash control and reconciliation functions are accurate
  • Receiving, processing and verifying permit applications and client contracts for clients
  • Liaising with staff, RCS Operations staff and community groups regarding user group conduct or facility issues
  • Assisting Facility Booking Clerk (Clerk F) with overflow permit processing and issuance of completed contracts
  • Performing other duties as assigned

Requirements:

  • Demonstrated knowledge and skills of generally accepted administrative practices and procedures normally associated with an Office Administration College Certificate, plus one year of relevant customer service experience; or have the equivalent combination of education and relevant experience
  • A diploma in Office/Business Administration or Recreation and Leisure Studies is a strong asset
  • Established PC skills and experience in using relevant software (i.e. MS Office Suite, Class, Intelli)
  • Strong organizational and negotiation skills; ability to work independently, quickly and competently in a multi-task environment with frequent interruptions and ability to work under pressure to meet deadlines
  • Excellent customer service and interpersonal skills, and ability to communicate courteously and effectively, both orally and in writing
  • Ability to exercise discretion and tact and maintain a high degree of confidentiality
  • Ability to work shifts, including days, evenings and weekends

  1. Accounts Payable processing (approx. 25% time spent):
  2. Verify accuracy of invoices including applicable sales taxes and communicate any discrepancies.

  1. Benefits administration (approx. 25% time spent):

  5. communicate with division payroll administrators regarding company top-up and optional insurance payments, as well as advances and repayments to be processed under the collective agreement for disability leaves.
  6. communicate with union on issues if needed.
  7. process quarterly optional insurance lists and perform audit to ensure payroll deduction and benefit premiums are in line.

 

  1. Payroll entries (approx. 25% time spent):
    1. review weekly schedule provided and enter scheduled shifts into payroll
    2. compare daily attendance sheets against schedule and make changes accordingly
    3. review all entered time matched billable and non-billable hours per schedule
    4. ensure all premiums are added accordingly based on union rules

 

  1. Other support duties include (approx. 25% of time spent):
  2. WSIB claims are processed quickly and corporate/divisional procedures are followed throughout the division.  Communicates with Human Resources Corporate Division with work-related injuries, as needed, and submits copies of the WSIB paperwork, to Human Resources Corporate Division.
  3. Responsible for checking uniform orders from other sites, and ordering as needed, as well as working with supervisors and suppliers to correct any problems.  Responsible for setting up and maintaining voucher program through uniform vendor and checking/verifying invoices.
  4. Responsible for understanding the collective agreements and applying the appropriate sections as related to the job functions of the position.
  5. Responsible to remain up to date on payroll and collective agreement to remain as back-up to payroll administrators if they go off on leave.
  6. Work with General Manager to update procedures as needed, such as hiring procedure, Sick & Accident and WSIB procedures.
  7. Provide additional human resources services as required by the General Manager of the division.

 

QUALIFICATIONS:

 

  • Post-secondary diploma or degree in Business, related field required.
  • Minimum of 1 to 2 years of experience in payroll administration or benefits administration is an asset
  • Demonstrated proficiency in computer skills, Microsoft office (Word/Excel) 
  • Working knowledge of the Workplace Safety and Insurance Board (WSIB)
  • Must possess excellent communication (both oral and written) and people skills to work with internal and external clients.
  • Handling and being exposed to sensitive and confidential information.
  • Excellent planning, organizing, and project coordination skills coupled with a high attention to deal as well as the ability to meet deadlines.
  • Must have a strong ability to effectively problem solve, along with the ability to work independently or as part of a team.
